ISIS welcomes over 3,500 visitors each year to carry out experiments. Find out what steps you need to take to access the facility and ensure you are fully prepared for your experiment.

Step-by-step guide on the experimental visit process

Scheduling your experiment

Your ISIS local contact will contact you to arrange the dates of your experiment.  Please note that experiments may not be scheduled immediately after your beamtime allocation notification.

Submitting a facility visit request

When your experiment has been scheduled the PI will receive a link (via email) to the Visitor Notification of Arrival online form, which we require all members of the experimental team to complete at least two weeks prior to arrival.

This enables you to request facility accommodation and register your visit for the RAL site and ISIS experimental hall access, for the duration of your experiment. Please note that all travel must be booked by the user and, if eligible for funding, can be claimed back after the experiment. You can check here to see whether ISIS will fund your travel and subsistence costs.

A support letter for visa applications will be automatically issued to all non-UK-based users once their visit request has been confirmed. Please note that ISIS is unable to provide advice or guidance on visa applications — you must contact the relevant authorities in your home country for assistance.

Complete Experimental Risk Assessment (ERA)

An online Experiment Risk Assessment (ERA) form must be completed for each experiment. The ERA covers all safety and operational details — including personnel, samples, lab work, equipment, and environmental conditions — to help ISIS staff ensure a safe and successful experiment.

When your experiment has been scheduled the PI will receive a link (via email) to the ERA form.  Any investigator listed on the proposal can complete the ERA for the experiment. Once submitted, the form is reviewed by your local contact and the ISIS Experiment Operations Team. We require the ERA to be completed at least two weeks prior to arrival.

Required safety tests

To gain access to ISIS experimental halls or laboratories, all users must complete the required safety inductions and pass the relevant online tests before arrival. Please ensure you have read the appropriate safety materials prior to taking the tests.

  • Experimental Halls (all users): Pass the the General Safety Test
  • Chemical Laboratory use: Pass the the Facility Safety Test and Chemistry Labs Safety Test

All tests must be completed at least two weeks before arrival to allow sufficient time for verification and to ensure timely access to the facilities.

Upon arrival checklist

Please ensure you have submitted a visit request and completed all relevant safety tests and provided your emergency contact details before arrival.

You must bring valid, in-date photo identification. Access to the RAL site will not be permitted without valid photo ID.  Accepted forms of photo ID are:

  • UK or foreign passport
  • UK or foreign driving licence
  • EU/EEA National Identity Card
  • UK PASS Card
  • UK Biometric Residence Permit
  • MOD 90 / Government ID / Warrant Card
  • STFC/UKRI Issued Photo Pass

Arrival During Office Hours

Monday–Thursday: 08:00–16:00
Friday: 08:00–15:00

  • Report to the User Office in the main reception foyer (Building R75) to collect your site pass and dosimeter paperwork.
  • Visit the Health Physics Office (next to the ISIS Main Control Room in R5.5) to collect your dosimeter and activate your pass for entry to the experimental halls.

Arrival Outside Office Hours

To avoid delays, please:

  • Inform the User Office in advance if you plan to arrive out of hours.
  • Ensure your visit request, safety tests, and emergency contact details are complete.

Then:

  • Report to the Security Lodge in Building R75 (main reception) to collect your site pass and dosimeter paperwork.
  • Proceed to the ISIS Main Control Room (Building R5.5) to collect your dosimeter and have your pass activated for access to the experimental halls.

How to get to the Rutherford Appl​eton Laboratory

All travel must be arranged by the user and claimed back after the experiment if ISIS funded.

Accommodation

Accommodation, whether ISIS funded or not, should be requested through the ISIS User Office as part of your visit request submission.

Accommodation for users during their experiment is normally provided at Ridgeway House, based on-site at RAL, or The Cosener’s House in Abingdon. Whilst every effort is made to accomadate users in these hotels, occasionally non-STFC hotels may have to be used during periods of high-demand.

For users paying for their own accomodation costs at Ridgeway House or Cosener’s House the per night tariff is:

£80 + VAT from 31 March 2025

As accommodation is often fully booked in the area, it is important that the request is submitted as soon as possible. The following information will be required:

  • Arrival and departure dates
  • Experimental area to be worked in
  • Experiment/Principal Investigator or Group Leader

Please notify the ISIS User Office immediately of any booking changes in order to minimise cancellation charges which may be passed on to the User.

Weekends

If travelling from afar users are permitted to stay in booked accomodation at weekends, during their experiment – please include this in any requested visit dates.

If staying at The Cosener’s House, property may be left in a storage area over weekends. Please discuss this with the Cosener’s staff.​

If working late or staying away overnight please let Cosener’s staff know, so that the nightly guest check-list (required for fire regulations) can be updated.

Paying bills

If you are not ISIS funded, users staying in Ridgeway House or The Cosener’s House should settle their account at reception before checking out.​ Please note that Ridgeway House accept card payments only (not American Express).

Catering

All ISIS funded users will have money loaded onto their visitor user pass, which can be used in the RAL Restaurant, R1 Coffee Lounge and vending machines.

Please note that the RAL R22 Restaurant and R1 Coffee Lounge operates cashless only (user pass or bank card).

R22 Restaurant

Open Monday to Friday 07:30 – 20:15, and Saturday to Sunday 11:30 – 20:15

Offers a range of hot and cold meals, lighter meals, sandwiches and snacks, and hot and cold drinks

R1 Coffee Lounge

Open Monday to Friday from 08:30 – 16:00 for hot and cold drinks, light meals, snacks and sandwiches.

Other food options on the wider Harwell Campus

The wider Harwell Campus offers a range of food and drink options.  Please note that your funded user pass cannot be used at these establishments.
